Define recipient roles when sending a document
For each recipient, you can assign one of the following six roles:
- Signer – Signs the document to agree to its terms.
- Approver – Reviews and approves the document.
- Receives Copy – Gets a copy of the document but takes no action. If placed after all signers, they will receive the fully signed document.
- Witness – Acts as an intermediary; the signer must use their device (e.g., mobile, computer, tablet) to sign. Useful if the signer doesn’t have access to a smart device or if you want them to sign in your presence.
- Forwarder – Can forward the document to the final signer. Useful when you don’t have the signer’s contact details.
- Automatic Signature – Automatically applies a qualified signature to the document.
Signers and Approvers receive the completed
document automatically, unless this is disabled in their permissions. There is
no need to add them as Copy Recipient. Use
Copy Recipient only for recipients who need the final document
without taking any action.

- Available in All Plans: Signer, Receives Copy
- Available in Business Pro & Enterprise: Approver, Witness, Forwarder
- Available in Enterprise Only: Automatic Signature
