Attributes are an additional tool for sorting and filtering documents. On this page, you will learn what attributes are, how to create them, and how to adapt them to your needs.
The attributes feature is divided into two parts:
- Document Types
- Attributes
How can I use attributes on Signify?
- Document types allow you to easily categorize documents based on their content, for example: employment contract, handover act, loan agreement, invoice, and more.
- Attributes: For each document type, you can create corresponding attributes, such as “Expiration Date”, “Value”, “Parties” and others.
On the platform, we have pre-created document types and tailored fields that our users most frequently use. In addition to the system’s suggested options, you can also create your own document types and preferred attributes.
How to assign an attribute to an existing document?
You have two options:
1. Assigning attributes using AI
- Go to the Documents Page and click on the specific document.
- Navigate to the Attributes tab within the document details.
- Click the Extract button.
2. Manually assigning attributes
- Go to the Documents page and click on the document.
- In the document details, go to the Attributes tab.
- Select the Document Type and fill in the attribute fields created for that document type.
How to search for a document using attributes?
- On the Documents page, select + Filter.
- Choose Attributes.
Here, you can select and filter by both the document type and specific attributes.
How to create a document type?
- Go to Settings.
- On the Attributes page, in the menu, select Document Types.
- Click + Document Type.
- Enter a name, for example, “Employment Contract”.
- If you want this type to be available only to a specific team, select the corresponding team.
- From here, you can assign attributes to this document type.
- Click the Save button.
How to create an attribute for a document type?
- Go to the Attributes page.
- Click the + Attribute button.
- Enter the attribute name (e.g., “Expiration Date”).
- Select the attribute field type (text, number, date, dropdown, etc.).
- Click the Save button to save your changes.
If desired, set additional validation rules (for example, if creating a personal ID field, choose a text field and specify “Digits only”).
How to assign an attribute to a template?
Once an attribute is assigned to a template, every document sent using that template will automatically inherit these attributes.
- Go to the Templates page and create a new template or edit an existing one.
- On the document page, go to the Attributes tab.
- Assign the attributes as desired and save.
